Position:  Executive Assistant
Location: Miami, FL
Job Overview:
Zion Equities is seeking a highly organized and proactive Executive Assistant to support our senior leadership team in Miami. The successful candidate will play a crucial role in ensuring the efficiency and effectiveness of our executive operations, managing a wide range of administrative and operational tasks.
Key Responsibilities:
  • Provide comprehensive administrative support to senior executives, including calendar management, travel arrangements, and meeting coordination.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Handle confidential information with discretion and maintain the highest level of professionalism.
  • Coordinate and manage executive communications, including screening calls, emails, and other correspondence.
  • Organize and prepare materials for meetings, conferences, and presentations.
  • Assist in the planning and execution of company events and functions.
  • Conduct research and gather data to support executive decision-making and strategic planning.
  • Manage special projects and initiatives as assigned by senior leadership.
  • Maintain and update records, files, and databases with accuracy and attention to detail.
  • Perform other administrative and support tasks to ensure the smooth operation of the executive office.
Background Requirements:
  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • 3-5 years of experience as an executive assistant or in a similar administrative role.
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High level of professionalism, integrity, and discretion in handling confidential information.
  • Experience in the real estate industry is a plus.
